Wanted: Tips for setting up a Raspberry Jam

I'm checking with my employer whether they would be OK with a Raspberry Jam being hosted at our offices near Staines and was wondering if anybody has tips or ideas they have seen or implemented to make a great Jam.
I've read http://raspberryjam.org.uk/make-a-raspberryjam/ and it was a great start.

Questions I have are:
How soon before the event should it be announced?
What kind of numbers can be expected?
What facilities are really required (tables, power, network, screens,...)
For presentations are these usually done in the same place as the show and tell or another room?

Any and all ideas are welcome.
